I went to market and interviewed a lot of PEOs, and Insperity was the one. The company I worked for at the time had employees located in 26 states. We needed someone who could be an expert in all those states because the registrations, the unemployment, and the labor laws were too much to handle. Insperity had experience in the market whereas a lot of the other PEOs were relatively new. They were tech companies that had no HR compliance background. Insperity used to be called Administaff. They had been around a long time and functioning. I had been on Administaff payroll at some point for one of my companies that I worked for as an employee back in 2009. When I got laid off, Insperity was phenomenal. They made sure that I got all of the government credits. I only had to pay $5 a month for my COBRA, which would have been $500 a month while I was on unemployment. That helped me get the unemployment set up. It was done very quickly and professionally.
Then I was at another new startup company. We had about 13 employees, but we were growing. I went to market and looked at ADP TotalSource, TriNet and Insperity because I had weeded out the other ones as being not qualified even after a few years. ADP TotalSource had the technology and the user interface for the employees that I liked. But they could never match the Insperity benefits prices. I had gone into a couple clients with TriNet and TriNet had screwed up their payroll taxes on several occasions. There was one occasion where I wasn't sure if payroll was going to go through and TriNet couldn't tell me if my employees were going to get paid. I had to call every employee and get their wire information in case their paycheck didn't come through the next day.
I still go to market and quote them when I'm bringing in a PEO to a client. But Insperity has handholding for all terminated employees. They handle all the communication. If it's contentious, we don't have to talk to them anymore. I like that. I've never had tax problems with them. I've never had employees have issues. We hired a new employee whose wife was pregnant and had the baby two weeks after he was hired. She had to have a home nurse. Insperity took care of making sure that was covered on her benefits plan. He'd only been with the company for two weeks. I didn't have to do one thing.
I've had good experiences with Insperity making sure that the employees are not asking me about their healthcare and benefits. As the finance person in each of these companies, I don't want to deal with employees including terminated ones. I don't want to deal with people's taxes being screwed up or Texas charging the wrong amount of unemployment. Those are all problems I've had with other PEOs. I go to markets, but I like Insperity. I use the same HR rep and the same payroll administrator at all my clients. They do the job properly. I'm getting what I pay for. I want HR compliance. I want employee happiness. I want not to deal with employee issues.
Insperity has saved us tons of money. We started our company during the pandemic in June of 2020. We didn't join Insperity until February of 2021. In December, I received an email from Insperity saying, "The law has changed. You are now eligible for the employee retention credit. Click this link and fill out the form." I clicked the link and the form was pre-filled with all of our employees that were eligible for the credit. I just had to confirm then it did all the calculations and said, "Here's your total payroll. You're eligible for a total of $50,000. Sign here and we will file the amended 941 form for you." I clicked on it, but I hadn't finished it 'cause I wanted to review it with our CEO. They called two days later and said, "We just wanted to make sure you saw that email that you're now eligible for this government refund of your taxes that you weren't eligible for before." They also have the regulation quoted. They made it so I had to check off, "Yes. I follow all of these rules that the new law allowed for the credit."
I filed it and they have kept us up to date as far as how long it was taking with the government. It hasn't come through yet. But that was $50,000 that I never would have gotten because I didn't know the law changed. I have been on top of the ERC, the PPP, etc, but it just became noise. But Insperity took care of it, filed the form, and had everything ready for us. That's free money right there.

Insperity is very inclusive with everything, so they're a great company to go through. They combine smaller companies together and give the illusion that we are a larger company. That way, we can have cost reductions for employees as well as for us as a company. Their website is very easy to use and there's so much on there that I almost have to have a full-time job just to go look at everything. So, it's fun to be able to go out there, find what I need, and be able to go from there.
My payroll specialist, Diane, does a great job. I also work with a rep named Jordan. They're both very easy to get along with and very informative. They listened and they heard at the same time. We use all kinds of HR solutions through them. If we're separating somebody, we use their separation agreement that they have from an HR standpoint. Then, people sign up for our benefit packages for the employees through them, which include medical, dental, vision, and 401(k).
I love their customer service. They make things easy and they reach out to me when they remember a conversation that I've had with them and they can offer something in relation to that. Because one of the things that Insperity has is a lot of training material and there are over 3,000 different selections you can go through. So, if you don't know what you're looking for, you can just go browse through their website and you would definitely find things. But it's nice to mention things, and they'd call me and tell me about exactly what I want even though I didn't know I wanted it until they told me.
I also love the security levels that Insperity has. If somebody wanted to schedule a PTO day, I can do that. But if it's somebody who wants to make a major change to their address or anything on the personal level, including banking account and banking information, they have to do that on their own. But then, Insperity does a really good job of walking through people and our employees are very happy because it's very easy to reach out to them.
Insperity's reps are very helpful, too. They have different areas and the nice thing is, I have yet to meet anybody who, if it's not in their particular area, will say that it's not theirs and just leave it at that. They always say they will help me, then they can direct me to where I need to go and they hold my hand until I'm passed off to the next person. I tell my friends how wonderful they are and some people have said that they don't have that with the company they use. So, it's been fun to be able to talk to other people about it.
When you join with Insperity, it's like they own you and the owners weren't looking to be owned by anybody. The salesmen were good in the beginning, although one of the gentlemen, Eric, had fabricated about two different instances, which I found really important to move forward with them. Matt, the other partner that was with him, was thankfully honest and forthright. When I called Eric out, one was to do with actual payroll reports, and he really didn't have a good explanation. So, I've never really had a good taste in my mouth for him. He kinda reminded me of a greasy car salesman. I actually talked to the owner and thought maybe we shouldn't move forward because it was not a good look to start out with a business and partnership when you have somebody fabricate things. He couldn't deny him because I had him on paper. I tried to just overlook that and move forward.
Our onboarding person was beyond phenomenal. I loved her. Her name is Trisha. She was a saving grace and all-around encompassing. She was really the key factor to making me like Insperity. I have never had to deal with Eric again after that, which I was grateful for. We deal with Matt every now and again. I love him. He's professional and doesn't make up situations just to make you happy. No matter what we turn to him for, he gets an answer.
We've moved on because Trisha is an onboarding gal. Sadly, I had to move on to someone else. Her name is Carla. I wicked liked her, but then she moved on. Now, I have Cheri. I absolutely love her. The onboarding was rough because of Eric not telling the truth, but since then, it's been nice. Response is very quick and if a person is on vacation, they tell you ahead of time and then tell me who's gonna be helping. Cheri is very efficient and extremely knowledgeable. I'm really content.

Back in 2015, I worked with a small oil and gas company and we used Insperity there. I enjoyed the people, especially Sarah. She was my first contact there. In 2019, I was hired on as the controller for this company. They had already made the decision to go with Insperity, which I've been very happy with, and I have continued on.
We've run into a few hurdles over year-end stuff where there was some excess cash pulled and double amount pulled for a bonus payroll. The communication between the credit department and the payroll specialist was not very clear. I was directed to reject the first payroll in January for our hourly guys. I did that, and the credit department called and was wanting an explanation why I did that. We had frustrating words back and forth. But it seems like we're back on the right track again. I have a new payroll specialist that started around the 28th of November named Isabel and she's been great to work with. Jill before her and a couple of others before then, I've had a great interaction in the almost four years now that I've been working again with Insperity.
It's a user-friendly software. Once you get a rhythm going with your payroll specialist, there are usually no issues. The only thing I'm not comfortable with is we make contributions to our HSA for all of our employees and we give each employee $3,000 a year. Half of that goes through payroll deductions and the other half goes through a company that was acquired. It makes for two W-2s at the end of the year and I don't understand still why we can't do the entire 3,000 through payroll. We have 24 payrolls a year. They're claiming some tax law, but I can't find it. That's been something that I have on an annual basis brought up, trying to see if we can get it changed.

Insperity was concise. I had a couple of Zoom meetings with them during the COVID mess and they were straightforward, and I liked that. I get everything that's particular that comes down the pipe from the Feds and the State that I need to be aware of. Whether or not it applies to me is immaterial. I'm in Texas and has a business in California and Insperity gets it all. They send me anything I need to have to put on the wall and contact me routinely. I'm never in the dark. I get it via email and in hardcopy so, there's a backup in case I miss it online. I have the 401(k) through them for the office, payroll, my health insurance and any life insurance. I've got four employees and I offer them everything that's available because we all need that stuff.
I've recommended Insperity to about three people now that have had startup businesses or businesses that have gone independent. I told them that these are the guys they want to talk to. They can do everything they want to do and stage it in as they want to. So, they can get the basics down, which is HR and payroll and benefits and later on, they can add their 401(k). Insperity will do as much or as little as I want them to do and I find that good because I'd have to hire an HR person to do all this. And they are way worth the money because an HR person cost an arm and a leg. Also, I can use their facilities. My point of contact is just north of Houston and I'm sitting just five hours above them. I can send them an email or I can call them and they'll get back to me within 24 hours.

We have one HR representative, a payroll specialist and a field manager. There were a couple of instances when the reps should have known the answer but we got the runaround and two different answers but those have been few and far between. Also, we've had to escalate things which is not necessarily their fault. We always get a response. But the dedicated rep was the biggest part for us. If they're on vacation, their email inbox gets monitored by somebody else. Other than that, the cost is fantastic at almost half of what our old service was per head. We got much better return on that over what we get. There are a couple of things we've had to make concessions with but it's a small price to pay for cost savings. The service they provide to a small company like us where we don't have to do the heavy lifting is the biggest thing.

We love Insperity. They handle our work comp and our health insurance. When I send in the payroll, I get a response back usually within an hour or two saying it's ready to be approved. That's all it takes. Also, whenever I have questions or problems and I email them, they get back to me right away. Then, if I call anyone there and I have the wrong person, they always have the right person to send me to or the right letters or forms that will tell me how to do whatever I need to do. Insperity makes it easier for me to get other things done and I don't have to worry about if things are getting done because I know they take care of it.

Their customer support and IT is good. It's easy enough to do payroll online. Insperity makes payroll and the associated employment taxes easier to deal with.

The person that we worked with at Insperity was very helpful and attentive. Any questions that we had, our rep walked us through every step. If he didn't have the answer, he got us to the right person. So, it was an easy process for us because we had somebody who was very patient in getting us set up and making sure that we were connected to the right people for anything that we needed. We're using all of the payroll and for any other HR questions that we have, they're very easy to work with. They provide any type of support or backup that we need. As far as the site, sometimes it's hard to find different reports. But any time I can't find any thing, I just reach out to somebody and they tell me where to go. Aside from that, a lot of the trainings that were available helped us as far as improving the skills that we have for our team, which has increased our efficiency.

We wanted to gain a better source of health insurance for employees. We use a lot of Insperity's features. We use their payroll service. I'm very pleased with the customer service experience. We’ve gone to them with different questions and needs throughout the years. They've always been extremely responsive. We're able to offer very good benefits for our employees. Their fees are high, but they're worth it. They were also particularly helpful in responding to the need for reports and information when the PPP loans first became available. They greatly sped up our application process for that.
